Privacy Policy

R Recruitment Ltd (“we”, “us”, “our”) is a recruitment agency registered in England & Wales (Company No. 12068508).
Our registered office is 37 Normanton Road, Lawrence House, Derby, Derbyshire, DE1 2GJ, United Kingdom.
For the purposes of the UK General Data Protection Regulation (“UK GDPR”) and Data Protection Act 2018 we are the data controller.

Our Data Protection Manager is Renata Krawcewicz (hello@rragency.uk).

2. Scope of this notice

This notice applies to:

  • Visitors to rragency.uk and its lead-generation landing pages.
  • Individuals who provide details by telephone, SMS, email, online forms or social media adverts.
  • Candidates whose data we receive from job boards or referrers.

3. Personal data we collect

  • Information you give us – full name, phone number, email address, location, CV, licences, work eligibility documents and your explicit consent (e.g. tick-box or tap-to-agree).
  • Information we collect automatically – IP address, device ID, browser type, referral source, interaction logs, and cookie identifiers (see §4).
  • Information from third parties – background-check and compliance data, application status details from employers, analytics reports from platforms such as Meta Ads and Google Analytics 4.

4. Cookies & similar technologies

We use first-party and third-party cookies, pixels and SDKs to:

  • provide core site functions;
  • measure and improve campaign performance (Facebook/Meta Pixel, Google Analytics 4, Google Ads conversion tags);
  • serve interest-based adverts.

You will see a cookie banner the first time you visit. Essential cookies load automatically; analytics/marketing cookies only run when you click “Accept”. You can withdraw consent at any time via the banner or your browser settings. For full details see our Cookie Policy.

5. Why we use your data & lawful bases

  • To contact you about HGV vacancies (Consent Art 6 (1)(a)).
  • To match you with roles and share your profile with potential employers (Consent or Legitimate Interests Art 6 (1)(f)).
  • To run our website, analyse traffic and optimise adverts (Consent for analytics/marketing cookies; Legitimate Interests for essential logging).
  • To comply with legal obligations (Art 6 (1)(c)) such as right-to-work checks, HMRC record-keeping or fraud prevention.
  • To perform or prepare a contract with you or an employer (Art 6 (1)(b)).

6. Marketing preferences

We do not cold-call or bulk-SMS. We only send job alerts where you have opted in, and every SMS/email includes an opt-out link or STOP command.

7. Automated decision-making

We do not make fully automated decisions with legal or similarly significant effect. We may use keyword filters to shortlist CVs, but a person always reviews final selections.

8. Who we share your data with

  • Prospective employers and hirers (only after you agree).
  • Service providers acting on our instructions (ATS/CRM host, cloud storage, SMS gateway, Meta Ads, Google Marketing Platform, auditors).
  • Regulators, law-enforcement or courts where required.
  • Any purchaser of part or all of our business (under confidentiality).

9. International transfers

Some suppliers (e.g. Meta Platforms Inc., Google LLC) are outside the UK. Where data leaves the UK we rely on adequacy regulations, ICO-approved Standard Contractual Clauses or other lawful safeguards.

10. Security measures

Data is encrypted in transit (TLS 1.2+), stored in ISO 27001-certified data-centres, and access is role-based with MFA. Staff receive annual data-protection training.

11. Retention

Candidates: 24 months from last contact unless placed or you ask us to delete sooner. Placed candidates: seven years post-assignment (tax/contract records). Prospect tracking data: 14 months (Google Analytics default). We pseudonymise or delete when no longer required.

12. Your rights

  • Access, rectification, erasure, restriction, objection, portability.
  • Withdraw consent at any time (this won’t affect prior lawful processing).
  • Complain to the UK Information Commissioner’s Office (“ICO”).
